Tips for Setting up for an Event

We often talk about how to throw a great party, or how to plan a wedding that will run smoothly, but we very rarely take the time to talk about setting up the event. Honestly, setting up is one of the best and one of the worst parts of planning! While it’s amazing to see your vision come to life and finally get to put those last details in place, it’s also tons of work and can be really stressful! Here are our best tips to setting up for an event to make it as stress free as possible!


1. Pick Your Setup Team Wisely

When it comes to picking people to help you put out decor and guests books and all of that fun stuff, the phrase “the more the merrier” simply does not apply. If you have too many people there, it’s hard to make sure that everything is going where it needs to. Keeping a ton of people on task all while you’re trying to make sure that everything is getting done can add tons of stress. The best advice we can give is to pick a handful of your close family or friends that you know can follow instructions and get things done!


2. Have a Checklist

Here at Plan + Simple, we’re big list people. You won’t catch us at an event without a clipboard filled with lists of everything that needs to get done, the names of everyone in the bridal party, a timeline, etc. Before you leave for your big event, take the time to type up a checklist of all of the decor and various things that you need to do and setup! You’ll be so thankful you did when everything is setup and you think “did I remember everything?”


3. Label Your Boxes of Decor

We just coordinated a wedding recently where we had to do the decor setup beforehand. We got there, and walked into a HUGE pile of boxes. Thankfully, our bride was ON IT and all of her boxes were labeled with exactly what they were and where the things inside of the boxes belonged! Do yourself a favor and label everything that’s going to your event with you so that when you get there, you don’t have to rip open every box to find what you need first! 


4. Do a Final Walkthrough 

When everything is setup and you have a few minutes before your guests arrive, take that checklist that you made and do a walkthrough of the whole venue! Make sure that everything looks just how you want it to and make sure that you didn’t leave anything out. Also take this time to take photos to document your event and all of the hard work you put in to it!


5. Enjoy It

While setup can be stressful and hectic, take the time to enjoy it. Enjoy the little details that you have planned and enjoy the company of your setup crew! The event will be over in the blink of an eye so make some memories that will last a lifetime.
